Facility Rentals

Per Board Policy 8:20, Huntley Community School District 158 invites community groups and organizations to rent our facilities for community programs, sporting events, and other meetings that benefit our communities and schools. Facilities are available during non-school hours when such use does not: (1) interfere with any school function, (2) affect the safety of students or employees, or (3) affect the property or liability of the School District. The use of school facilities for school purposes has precedence over all other uses.
 
Please note: The use of District facilities for personal or private parties and celebrations is not permitted. These include, but are not limited to, birthday parties, graduation parties, baby showers, anniversary celebrations, wedding receptions, etc. In addition, the renter may not assign or sub-contract any facility or area therein, nor any rights under a contract to another party.

    The application form includes new requirements. Rental rates have been updated for not-for-profit groups within District 158 attendance boundaries and all out-of-district groups and organizations.

  • New Facility Rental Procedures Manual:
    This manual outlines the rules, responsibilities, and procedures for renting District buildings and grounds. It is designed to provide clarity, promote consistency, and ensure the safe and efficient use of facilities by all users.

IMPORTANT UPDATES TO NOTE

  • District Event Supervisors are required for all rental events open to the public, HHS Field House rentals, and HHS Stadium Field/Track rentals.
  • A designated adult certified in First Aid, CPR, and AED use must be on-site at all times for rentals involving athletic or physical fitness facilities.
  • Vendor Insurance is required if your rental includes the use of vendors (e.g., DJs, food trucks, performers, merchandise sales, photographers, etc.).

Facility Rental Procedure
Please read and understand the Facility Rental Procedures Manual. Key topics include: insurance requirements, custodial fees, cancellation policies, and billing practices.

A Certificate of Liability Insurance is required. It must name Huntley Community School District 158, 650 Dr. John Burkey Drive, Algonquin, IL 60102, as the certificate holder/additional insured. No Waivers of Subrogation are permitted on the Certificate of Insurance between School District 158 and the renter.

How to Make a Rental Request
All requests must be submitted using the Application for Use of Buildings or Grounds form.

For recurring events, list each date requested (e.g., do not write “the third Tuesday of each month”). Use the 2025-2026 Yearly Calendar to avoid submitting requests on: No School Days, Institute Days, Holidays, Winter Break, Spring Break, and other non-rental dates. Room use immediately after school hours on Early Release Days is not available.

Approval Process
Rental requests are reviewed for event eligibility and space availability. Please allow up to 5 business days for processing.

A rental is not confirmed until the Rental Application has been approved, a valid Certificate of Insurance has been received, and all required documentation has been submitted.
